Office Manager/Executive Assistant

 

 

Key Responsibilities

Office Management

·        Serve as the main contact for daily office needs.

·        Build out new office space by working with all necessary vendors.

·        Manage all aspects of space/infrastructure layout and planning.

·        Manage office supplies and services as needed.

·        Send and receive mail and shipments/packages.

·        Assists with the orientation and onboarding of new employees.

·        Troubleshoot IT issues with computers and other equipment.

·        Foster a productive, team-oriented environment.

·        Manage vendors and handle contract negotiations.

Executive Support

·        Coordinate meetings, schedules, events and calendar management.

·        Prepare and process expense reports and invoices.

·        Prepare reports, presentations, correspondence, agendas, meeting minutes, and other documents.

·        Handle travel arrangements for flights, hotels, and preparing itinerary.

·        Manage meeting logistics such as food service or video conferencing.

·        Organize, prioritize, and effectively handle time-sensitive, confidential information.

·        Performs other related duties as assigned to meet the needs of the business.

 

 

Qualifications

·        5-7 years of administrative support and office management experience

·        Strong Microsoft Office suite skills and computer skills

·        Critical thinking (analysis, synthesis, reasoning, evaluation, etc.)

·        Excellent oral and written communication skills

·        High flexibility and adaptability

·        Strong problem solving and decision making

·        Organized, detail oriented, and results focused

·        Solid time-management skills with the ability to prioritize tasks

·        Strong interpersonal skills to include strong customer focus

·        Ability to maintain highest degree of confidentiality

·        Strong integrity, judgment, maturity, and professionalism

·        Ability to work proactively and independently

·        Must exhibit organizational awareness and resourcefulness

·        Must be able to maintain focus and to see tasks through to completion
