 Responsibilities & Key Duties:

•                    Serves as administration contact for team members

•                    Onboarding and exiting employee/contractor supply and setup

•                    New employee training scheduling

•                    Schedule and organize monthly lunch and learn for administrative team

•                   Assist in planning on meeting or team development events

•                   Back up to Director of Operations as landlord contact, security system and cleaners

•                   Expert and contact on tools, software licenses and processes

•                   IT company support

•                   Postage and shipping point of contact

•                   Office supply management

•                   Equipment monitoring

•                   Annual supply order

•                   Quarterly PTO updates

•                   Employee review scheduling and organization

•                   Employee benefits administration only

•                   Association monthly reporting data entry and management


•                   Payroll time tracking reports

•                   Email system updates for all clients

•                   Company website and social media management

•                   American Express entries/bill-backs

•                   Monthly client billing: Management and Receivable invoice generation

•                   Mail sorting and distribution of association checks appropriately

•                   Weekly check printing for signature and distribution

•                    AP/AR

•                   Support to Accountant as requested

•                   Perform a wide variety of administrative duties as required by daily associational operations

•                   First point of contact for association members and other stakeholders ·

•                   Monitors email addresses and answers incoming phone calls

•                   Support membership through other correspondence and reporting

•                    Credentialing – tracking and other support of continuing education units

•                    Manage registration for association conference and events, including processing registrations, merging/printing/assembling event name badges, updating registrations, managing onsite registration and post-event wrap up

•                    Compile newsletter articles and create in AMS and Mailchimp

•                    Maintain online calendar of events

•                    Generate quarterly website analytics reports

•                    Draft and distribute emails via Constant Contact

•                    Website updates through association management software (AMS)

•                    Social media updates (content provided)

Qualifications:

•                    5 Years administrative experience (preferred)

•                    Associates degree; Bachelor’s degree preferred.

•                   Two or more years of QuickBooks Online use and experience (non-profit application a plus)

•                   Association management software and non-profit experience a plus

•                   Travel 2-3 times a year for 4-5 days at a time required
