Executive Assistant

Responsibility:

  • Handle confidential information with discretion
  • Drafting and editing written correspondence such as email, memos, letters, and other communication on behalf of Executives
  • Prepare and revise presentations and other meeting materials
  • Calendar management that includes making appointments, scheduling meetings, and adjusting based on evolving priorities as needed
  • Meeting and event planning to include leadership meetings, board meetings, events, etc.
  • Meeting preparation that includes drafting and revising presentations and other meeting materials, keeping track of meeting progress and follow-up items, and preparing and revising correspondence and other documents, as necessary
  • Completes special projects by understanding objectives, determining priorities, managing time, gaining cooperation of others, monitoring progress, problem-solving, and making adjustments to plans
  • Booking travel arrangements to include air travel, land transportation, and accommodations as well as communicating those arrangements with a high level of detail and follow through.
  • Serve as the primary point of contact for internal and external constituencies on all matters pertaining to the Executive Leadership Team supported, including those of a highly confidential, personal, or critical nature.
  • Serves as the Executive's administrative liaison to the Board of Directors which includes managing communication, materials and meeting preparation for meetings.
  • Expense reports; composing and preparing correspondence; and compiling receipts for reimbursement.
  • Other duties as assigned.

Qualifications:

  • 10+ years of executive administrative support, and 3+ years supporting C-Suite Executives
  • Associate’s Degree is preferred
  • Microsoft Office Suite
  • Ability to multi-task in a fast-paced environment with demonstrated ability to juggle and prioritize multiple and changing tasks and demands and to seek supervisory assistance as appropriate
  • Ability to work with minimal supervision
  • Demonstrates ability to take initiative, anticipate needs and exercise independent and sound judgment.
  • Appropriate sense of discretion in dealing with varied and difficult situations
  • Strong customer service skills, always professional, responsive and available to customers, vendors, center contacts and other team members.
  • Communicates effectively and positively when contacting managers, personnel
  • Adapts to changes in the corporate office well. 
  • Is flexible and open-minded in thought processes. 
  • Does not lose focus under pressure.
