Executive Assistant, Salt Lake City, UT

The Executive Assistant will provide support for our two of our Co-Founders and their Sr. Executive Assistants. The ideal candidate possesses outstanding skills in organization and communications; Professional attitude and appearance; 3-5 years of experience in a professional office setting. Effective personal and professional time-management; maintain highest level of confidentiality and discretion at all times with respect to all personal and business information and knowledge; may include Personal Assistant duties. Proficiency in computer software programs for scheduling correspondence and database management, e.g. Microsoft Office, Dynamo, Concur and Adobe Pro.  Experience with expense reporting and building client relationship management preferred. Work well as a team and communicate effectively with colleagues. Able to work routine office hours at the company office in downtown Salt Lake City.

Additional Job Duties:

  • Keeps designated executives and Sr. Executive Assistants organized
  • Office organization (team coordination, building and maintenance coordination, office supplies, etc.)
  • Welcome and assist guests
  • Manage and maintain office confidentiality
  • Act as a point of contact for internal and external stakeholders, responding to inquiries and directing to appropriate individuals as necessary
  • Maintain efficient document retention system, including but not limited to scanning, copying and filing
  • Scheduling, coordination, and calendar management
  • Maintain compliance certification on ComplySci
  • Assist in managing calls, correspondence and review of email as needed
  • Assist in coordinating speaking engagements
  • Assist in Managing expenses and reimbursements
  • Assist in event management, planning and follow up
  • Assist in managing complex travel
  • Ability to perform and prioritize multiple tasks
  • Other related administrative and support duties as required

Desired Experience, Knowledge, and Attributes:

  • Provide comprehensive administrative support to a senior executives and their senior EA’s, including scheduling, travel arrangements, expense reporting, and communication management
  • Highly organized with outstanding diligence; ability to keep the urgent and important in check
  • Manage and maintain confidential information and records with a high level of discretion
  • Uncompromising work ethic; strong initiative; keen attention to detail; adaptable; personable
  • Good moral character, ethics, honesty, loyalty, and integrity
  • Strong interpersonal skills; clear and concise written and verbal communications
