Position Overview:


The Part-Time Executive Administrative Assistant will provide high-level administrative support to executives and senior management within the organization. This role requires exceptional organizational skills, attention to detail, discretion, and the ability to manage multiple tasks efficiently. The Executive Administrative Assistant will be responsible for handling a wide range of administrative and executive support-related tasks, ensuring seamless operations and effective communication within the executive team and across departments.

 

Key Responsibilities:

 

Calendar Management:

 

Coordinate and manage executive calendars, including scheduling meetings, appointments, and travel arrangements.

Prioritize conflicting appointments and manage changes effectively.

Ensure executives are well-prepared for meetings and have all necessary materials and information.

Communication and Correspondence:

 

Act as a primary point of contact for internal and external stakeholders, including screening and managing phone calls, emails, and other communications.

Draft, proofread, and edit correspondence, reports, presentations, and other documents as needed.

Handle confidential information with discretion and professionalism.

Administrative Support:

 

Provide administrative support to executives, including preparing expense reports, managing invoices, and maintaining filing systems.

Assist with the organization and coordination of special events, meetings, and conferences.

Conduct research, compile data, and prepare reports as requested.

Office Management:

 

Assist with office management duties, including ordering supplies, coordinating equipment maintenance, and managing office logistics.

Ensure office spaces are organized, clean, and well-maintained.

Team Collaboration:

 

Collaborate with other administrative staff and departments to facilitate communication and streamline processes.

Assist in the onboarding of new employees, including preparing materials and coordinating orientation schedules.

Qualifications:

 

Qualifications:



Proven experience as an administrative assistant or similar role, preferably supporting executives or senior management.

Excellent verbal and written communication skills.

Strong organizational and time-management abilities, with the capacity to prioritize tasks and work efficiently under pressure.

Proficiency in Microsoft Office Suite and other relevant software applications.

Discretion and confidentiality when handling sensitive information.

Ability to anticipate needs and proactively address issues.

Flexibility to adapt to changing priorities and deadlines.

High school diploma required; additional qualifications such as certification in office administration or related fields preferred.
