Contract Lease Administration Coordinator

This person will be working 15-30 hours a week, ideally, someone who is well organized and has some accounts payable type experience. 3-month assignment to cover a leave. This position interviews immediately and starts asap. Serious applicants only, please.

Key functions:

  • Going through the mail and the ‘rents’ inbox every day, marking each store number on what is received, then sorting everything for processing
  • Comparing landlord rent invoices & statements to Lucernex
  • Reaching out to landlords to get copies of missing documents
  • Scanning the utility invoices we receive and emailing them over in batches
  • Logging CAM recs into the Log
  • Entering one-time invoices into Lucernex each week for things like the grease trap, trash, etc and running the weekly one-time process. This is one part that falls under Joanna’s separation-of-duties issue

  • The Lease Administration Coordinator will be responsible for the day to day activities related to data and file management of the real estate lease portfolio processing, directing and responding to lease related correspondence, and other related administrative functions as needed. This is a part-time position with hours ranging from 20 – 30 hours per week.
  • RESPONSIBILITIES:
  • Opening and processing all mail received from landlords on a daily basis.
  • Processing lease administration database changes to ensure accurate reporting.
  • Coordinating and processing of monthly rent payments as well as weekly miscellaneous landlord billings.
  • Reviewing and reconciling landlord rent accounts on a routine basis.
  • Working with third party vendor to ensure utility payments are processed in a timely manner.
  • Generating and transmitting monthly sales reports and corresponding percentage rent payments.
  • Interpreting and abstracting lease language into lease management software.
  • Maintaining lease documents within the system as well as physical lease files.
  • Communicating with restaurant managers and facility managers regarding landlord correspondence.
  • Other duties and projects as required for the success of the department

KNOWLEDGE/SKILLS/REQUIREMENTS:

  • Basic knowledge of general accounting and retail leases preferred.
  • Excellent accuracy skills with attention to detail and deadlines.
  • Strong organizational, analytical, and problem-solving skills.
  • Ability to work independently and handle multiple tasks concurrently.
  • Strong verbal and written communication skills.
  • Computer proficiency in Microsoft applications including but not limited to MS Outlook, MS Office, SharePoint, and general accounting software.
  • Flexibility, eager to learn, and desire to work in a fast-paced and evolving organization.
