Title: Documentation Specialist

Purpose: Responsible for the auditing process of funded lease and loan transactions.

Essential Job Duties and Responsibilities:

  • Audit all funded lease and loan transactions for accuracy, completeness, and compliance to applicable state, federal and company funding policies.
  • Pull auditing reports from the company’s operating systems to check for discrepancies of the work performed by the documentation associate and the lease documents prior to booking all lease and loan transactions.
  • Serve as liaison between the title agent, broker, lessee and the appropriate Department of Motor Vehicle office during the title process.
  • Follow up on outstanding items needed to complete the title transfer of the equipment from the seller
  • Track title process on various Microsoft Excel reports and in Dollar$.
  • Assist Collections Department with the title transfer on repossessed equipment.
  • Develop a solid understanding of Company’s broker guidelines and special programs.
  • Educate and assist Company brokers with funding guidelines, requirements, procedures and the online document system; including responding to brokers on all inquiries in a timely manner.
  • Scan funded files into the company’s internal electronic database
  • Scan various lease and miscellaneous documents to the company’s internal electronic database.
  • Maintain knowledge and stay current on all federal, state, county, and Company funding requirements.
  • Other duties and special projects as assigned.

Other Duties:

  • Provide backup assistance to Customer Service; including the invoice and mailing process.
  • Provide assistance in preparing lease and loan transactions for funding in the Documentation Department as needed.
  • Scan and file lease documents; including organizing and storing canceled lease transactions.
  • Assume a higher level of workflow when department personnel is absent or on vacation.
