The Position:

The Senior Executive Assistant position is responsible for providing superior, proactive executive business support to the CEO, COO, and Human Resources as well as leading innovative efforts for organizational effectiveness and relational community transformation.



Responsibilities:

  • Provides proactive executive business support to CEO/COO by reviewing emails, managing calendars, scheduling meetings, anticipating needs, creating agendas, reviewing incoming mail, keeping a call sheet, handling all filing, implementing strong follow up processes, providing read-ahead or other documentation prep and support for meetings, confirming appointments, and acting as the CEO’s and COO’s personal representative to both internal and external constituencies.
  • Anticipate future scheduling or other business needs of the CEO/COO. Assist in organizing CEO’s workload to achieve major corporate initiatives. Create efficiencies in time management for CEO, COO, and self. Corresponds with Director’s Team, Executive Committee, Development Board, and At-Large Board, as needed for specific support necessary. Additionally, participates in supporting the needs of organizational annual strategic planning as well as taking ownership for the EC/Board Meetings. 
  • Point of Communication for CEO/COO and the Organization- Coordinate travel schedule and reservations; keep CEO’s calendar updated with all travel details. Additionally, fully manage the communication systems (MS Teams, Organizational SharePoint, Master Calendar, and other communication/systems needs). Conduct research as needed and anticipate needs while clearly communicating and meeting with CEO on a daily/weekly basis to stay in stride with the needs of the CEO, other Director’s, and the organization.
  • Stay on the leading edge of specific business issues and needs for the organization to truly partner with CEO and become the right-hand to ensure the organization is always in good standing with donors and any other partnerships. Helps to create, maintain and project the Corporate Administrative budget and assist with assembling the CEO/COO’s expense reports. Organize and maintain filing system, organizational library, and files correspondence and other records.
  • Provides administrative support for Human Resources by ensuring all filing is done in a timely manner, assisting with scheduling of meetings, interviews, researching candidates, sending out recruiting correspondence, and assisting with all other paperwork that must be kept confidential within the HR function. Assisting with keeping the HRIS updated and providing support with various HR projects that require confidentiality such as performance reviews and compensation spreadsheets.
  • Assist in other day-to-day operations, as needed, to provide support to leadership team and perform other duties as assigned


Qualifications:

  • Bachelor’s Degree or Associates Degree in Business Administration along with 5 years of related experience as an Executive Assistant to a CEO or Leadership Team, and/or training; or equivalent combination of education and experience
  • English Required, Fluent in Spanish is a Plus
  • Valid Driver License and Proof of Insurance at date of hire. Must become CPR certified within six months of hire
  • Willingness to travel local to central office, to community-based organizations, and other locations around the Denver Metro area and within mountain terrain
  • Strong organizational, interpersonal, and management skills

  • Ability to define problems, collect data, establish facts, and draw valid conclusions
  • Mastery of leading edge organizational and administrative tools
