Position Title: Executive Administrator

Position Location: Combination of telework at the Contractor personnel residence when telework is authorized and Arlington, VA or other local facilities within the Washington DC area/National Capital Region.


Daily Responsibilities: 

  • Conduct research, prepare reports, handle information requests, and perform clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings.
  • Provide internal guidance and coordination regarding administrative functions, management controls, metrics collection, standard operating procedures (SOPs), and general administrative compliance.
  • Provide SME in office administration, records management, knowledge management, task allotment and tracking, quality control and assurance.
  • Facilitate the coordination, response, and monitoring of all document requests and correspondence for internal and external requests in accordance with applicable policies and procedures.
  • Coordinate and prepare travel arrangements, authorization, and vouchers utilizing the Agency travel system.
  • Coordinate media appearances/interviews and congressional meetings/briefings in accordance with Agency policies and procedures.
  • Take meeting minutes/notes, providing executive summaries and action items for Government approval, and distributing once approved.
  • Ensure Compliance with administrative policies and task requirements, executive secretariat guidelines, formats, and procedures; drafting responses to written request; correcting and completing clearance documentation.


Required Years of Experience (min):       

  • Minimum 10 years of experience managing or directing executive strategies involving executive secretariat guidelines.


Required Degree:           

  • BS/BA degree (preferred).


Required Experience:                                  

  • Experience providing executive administrative support services for DHS is preferred.
  • Knowledge of the Plain Writing Act of 2010 for all applicable communications and ensure all communication includes the appropriate tone and style for the intended audience.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) for document preparation, data analysis, and communication.
  • Expertise in using tools like Microsoft Outlook or other scheduling software to manage executive calendars and appointments.
  • Excellent verbal and written communication skills for effective interaction with executives, clients, and stakeholders.
  • Experience using document management and collaboration tools such as SharePoint for organizing and managing files and records.
  • DHS experience in similar position is preferred.


Required Clearance:

  • Must be U.S. Citizen
  • Public Trust clearance
