We are in search of an Administrative Coordinator for a Professional Organization located in Washington D.C. This is a Full-Time, Hybrid, Temporary-to-Permanent assignment.

POSITION TITLE: Administrative Coordinator

SCHEDULE: Full Time (35 hrs./wk.); Hybrid

DURATION: Temporary-to-Permanent

PAY RATE: $22-26/hr. (Temp); $55-60K/yr. (Permanent Salary)


Is This Your Dream Position? As the Administrative Coordinator, you'll be responsible for working with the Advocacy & Policy team to provide operations support to the Washington, DC, and Rosemont, IL offices. You'll also provide primary administrative and project management support to the Sr. Vice President, Advocacy & Policy, and the Director, Advocacy & Policy Operations.  


Our Ideal Candidate:


  • Bachelor’s degree preferred
  • Minimum 1 year of experience providing administrative support, project coordination, and schedule management to multiple staff
  • Proficient with Monday.com and/or Slack preferred
  • Three years of previous experience in a health/medical association, hospital, health system, logistics management, corporate, or policy development environment preferred
  • Proficiency with Microsoft Office, PowerPoint, and Excel software is desired. 


How You Will Spend Your Day: 


  • Manage calendars and schedules for Sr. Vice President, Advocacy & Policy, and department Directors
  • Handle, dispense with, and/or triage meetings and other requests of Sr. Vice President and department Directors
  • Assist staff in their roles as staff liaisons for relevant Councils, Committees, and Task Forces (CCTFs), ensuring that meeting and teleconference schedules, communications, and member rosters are kept up to date
  • Assist with formatting and disseminating agendas and background materials, drafting meeting and conference call summation reports, and following up on resultant action items
  • Assist Director, Advocacy & Policy Operations in ensuring execution of departmental assignments and projects per operating policies, procedures, and timelines, implementing process improvements where needed
  • Assist in the development of departmental Monday.com boards and projects as appropriate
  • Tracking updates for Monday boards and other internal shared calendars and resources
  • Assist with mailings, report and slide preparation, electronic alerts, data entry and display, and other duties as assigned
