We are searching for an Executive Assistant for a Foundation based in Winston-Salem, NC. The role is a Full/Part-Time, Fully Remote, Temporary (~4 months) position.

 

ORGANIZATION TYPE: Foundation

LOCATION: Fully Remote

POSITION TITLE: Executive Assistant

SCHEDULE: Full/Part Time (30-40 hrs./wk. Mon-Fri)

DURATION: Temporary (~ through the end of December)

PAY RATE: $28-30/hr. DOE


 

Is This Your Dream Job? As the Executive Assistant, you will support the organization's overall success by managing our dynamic virtual office environment, which includes supporting team members with scheduling and meeting logistics, expensing, and managing individual projects. NOTE: Some travel is anticipated for this position.


Our Ideal Candidate:


  • At least 3 years experience as a Senior Administrative and/or Executive Assistant required
  • Strong proficiency in Microsoft 365 (Word, Excel, PowerPoint, Forms, Outlook, SharePoint, OneDrive) and Adobe Acrobat Pro required
  • Experience using Bill Spend and Expense, Bill Spend, and Expensify highly preferred
  • Working knowledge of Calendly, Adobe Acrobat Pro, WordPress, and/or Tripit preferred
  • Ability to travel required


 

How You Will Spend Your Day:


  • Board of Directors Administration and Support


  1. Assist in preparation of board meeting booklet and other supporting materials including comprehensive PDF version and shipment of printed version to board and staff.
  2. Assist in the preparation of committee meeting materials (agenda, reference documents) and upload materials to the board intranet
  3. Support committee chair with project managing new director recruitment efforts
  4. Maintain board of directors' contact


  • Staff Meetings and Events Support


  1. Schedule virtual and in-person meetings and manage calendars and travel for Chief Executive Officer and Chief Equity Officer
  2. Help plan and coordinate in-person meetings including hotel contracts, venue and caterer bookings, group dining, and individual travel arrangements.
  3. Assist with hiring and onboarding activities including scheduling of virtual interviews and in-person chemistry checks, collecting documents, and supporting orientation efforts.


  • Provide additional ongoing support to various other functions during times of high need.
