POSITION TITLE: Engagement Coordinator

LOCATION: Remote     

DURATION: Full-time Permanent role

SALARY: $55,000-$65,000 annual salary

 

POSITION SUMMARY:

 

The selected candidate will work in a team (Engagement Team) and will be responsible for supporting the Qualification and Appraisal Standards Boards, and other programs to foster the mission and vision of the Foundation. Working in a cross-functional team environment under the supervision of the Senior Director of Engagement & Innovation, the Coordinator ensures the interactions with, and work products of the assigned groups are completed timely and at a level of excellence expected for a national, congressionally authorized organization.

Candidates with appraisal experience, knowledge, or familiarity with appraisal regulation are encouraged to apply. Duties and Responsibilities:

 

Appraisal Standards Board and Appraiser Qualifications Board:

You will play a pivotal role in facilitating efficient operations and administration for both boards. Your responsibilities will include, but are not limited to:

 

  • Responsive Communication: Ensuring prompt and professional responses to emails from board members.
  • Meeting Coordination: Scheduling calls and arranging virtual or in-person meetings, including attendance at board calls and meetings, which may require occasional travel.
  • Project Management: Coordinating the flow of projects and materials to support various board initiatives.
  • Task Organization: Managing task lists and reminders using SharePoint and SmartSheets for effective task tracking.
  • Agenda Development: Drafting agendas and facilitating the timely flow of approval.
  • Meeting Support: Creating materials and assembling binders for board meetings, orientations, task force calls, as well as managing the Zoom platform for webinars and virtual public meetings.
  • Document Drafting Support: Assisting in drafting and reviewing various board correspondences, including Scripts, Work Plans, Exposure Drafts, Q&As, Discussion Drafts, and Concept Papers, ensuring clarity, accuracy, and adherence to organizational standards.
  • Minutes: Taking minutes during calls and meetings and overseeing the approval process for minutes.
  • Timesheets: Collecting and reviewing monthly board timesheets for accurate record-keeping.
  • Reporting: Drafting quarterly Board of Trustees (BOT) reports and Annual Reports for both boards.
  • Work Plan Management: Drafting Work Plans for both boards and facilitating the approval and review process.
  • Answering Questions: Addressing inquiries from the public regarding frequently asked questions on Criteria and USPAP. Tracking questions answered in SmartSheets. Seek guidance from the Senior Director of Engagement & Innovation, or Vice President of Appraisal Issues as needed on complex questions.

 

You will collaborate closely with another team member to provide support to the board, ensuring efficient operations and successful execution of initiatives.

 

Meetings Administration:

You will oversee the seamless execution of meetings. Your duties will encompass:


  • Meeting Preparation: Assisting in the preparation and coordination of meeting activities.
  • Contract Review: Reviewing hotel contracts to ensure compliance and favorable terms.
  • Hotel Liaison: Serving as the primary point of contact with hotels for board meetings.
  • Logistics Management: Managing meeting logistics with hotels, including: Creating and submitting master Rooming Lists.
  • Communicating with board members regarding their hotel reservations and adjustments.
  • Arranging catering of breakfast, snacks, and dinner if not provided by the hotel.
  • Creating and reviewing event orders.
  • Serving as a point of contact as needed for meetings.
  • Expense Report Management: Collecting and reviewing expense reports to be submitted to the Finance department.

 

General Duties:

In addition to the specific responsibilities outlined above, you will also be responsible for:


  • Phone Reception: Promptly answering and managing the main phone line during designated times during the week.
  • Special Projects: Coordinating other special projects identified as priorities by the President or their designee.
  • Performing Any Other Duties as Assigned.

 

Platforms:

Proficiency with the following platforms will set you up for success in this role:


  • Zoom: Managing virtual meetings and webinars, including tasks such as managing PowerPoint slides, screen sharing, and facilitating chat room interactions.
  • SmartSheets: Managing projects via SmartSheets, ensuring daily checks and updates to keep all team members informed of project statuses and deadlines.
  • Microsoft Office Suite: Proficient use of Outlook, Word, Excel, PowerPoint, and SharePoint.
  • SurveyMonkey: Creating and monitoring surveys to gather valuable feedback.
  • iMIS: Navigating the iMIS platform and assisting with database updates.
  • ShareFile: Uploading documents and sharing links securely through this data transfer site.
  • Calendly: Creating polls to coordinate meeting availability among participants.

 

Requirements:

To excel in this role, candidates should meet the following criteria:


  • Bachelor's degree preferred.
  • Demonstrated experience (2+ years) in project/program/administration/events.
  • Willingness to travel for work.
  • Appraisal experience, knowledge, or familiarity with appraisal regulations would be a plus
