Key Responsibilities

Communication and Calendar Management:

  • Prepare professional correspondence and manage emails and calendar requests promptly.
  • Organize daily, monthly, and quarterly meetings, considering both professional and personal priorities.
  • Create meeting prep materials and ensure timely follow-up.
  • Manage schedules for business development days and create detailed itineraries.


Travel & Event Management:

  • Coordinate travel arrangements and manage itineraries for the leadership team.
  • Research and book travel and venues for internal and external meetings.
  • Assist with planning and executing in-office events.


Office Management:

  • Answer phone and email inquiries, greet visitors, and manage conference room bookings.
  • Keep the office, conference rooms, and kitchen organized.
  • Monitor and maintain office supply inventory.


Additional Duties:

  • Support leadership with client and investor relations tasks.
  • Manage expenses for leadership.


Requirements:

  • 3+ years of experience as an Administrative Assistant.
  • Proficiency in Microsoft Office and the ability to learn new software quickly.
  • Strong communication skills, confidence, and the ability to manage up.
  • Proactive, adaptable, and a team player.
  • Effective decision-making skills and a positive attitude.
  • Ability to handle confidential information discreetly.
  • Strong relationship-building skills.
  • Based in the Omaha office, Monday to Friday, 8 AM to 5 PM, with some flexibility for urgent situations outside of normal business hours (i.e., travel cancellations, changes in meetings, less than 15% of the time). A typical work week for this role is 50 hours.
  • Ability to work in front of a computer screen for most of the day.
  • Occasionally lift up to 30 lbs.
