We seek an IT Project Coordinator, preferably with infrastructure project experience. This is a remote, part-time position working EST business hours. The hours of work each week will vary depending on the projects and the tasks that need to be done for each project. Candidates must be willing and able to work a part-time flexible schedule.


In this role, you will be responsible for supporting primarily Sales, Marketing, and Resort Operations IT infrastructure projects. You will work closely with a Project Manager and interact with senior leadership, other internal departments, IT management, IT associates, and 3rd party vendors to schedule and execute projects.


Duties & Responsibilities:

  • Support multiple medium to large Sales Center Gallery projects to include facilitating and coordinating, as well as tracking of day-to-day activities required to ensure that projects are completed on time, successfully, and in a manner consistent with organizational goals, departmental policies, and/or the standard terms and conditions of the contract
  • Duties include project scheduling, budget estimation, invoicing, and providing status updates.  
  • Manage project work plans including development of work breakdown structure, task dependencies, start and end dates, percent complete, resources assignments, work effort, duration estimates, milestone identification and tracking, critical path, and overall schedule updates, and reporting progress against plan. Also, identification of schedule variances and corresponding corrective actions. Guide projects to a successful outcome
  • Understand the project business case and manage the project to deliver business benefits identified in the business case. Manage the project budget, including preparation of period forecasts, variance reporting, and contingency management, working with the project accounting group. Stay within the approved budget while keeping the timeline on track.
  • Communicate time tracking standards to the team and ensure tracking is performed weekly.
  • Understand and manage the process to obtain external hardware, software, and vendors as determined in the project scope.
  • Understand stakeholder and user expectations on the project and deliver per these expectations. Ensure appropriate project reviews, compliance checks, and documentation are completed per the approved methodology.
  • Create Project and Department metrics for tracking, and procurement analysis, and create and implement project checklists and corresponding communications. 
  • Consistently manage a complex timeline and help others stay on task to meet assigned deliverables.
  • Travel when needed to a property in the US (minimal travel) to support the project. (Approved expenses will be reimbursed)


Experience Required:

  • BS/BA from an accredited college or equivalent work experience
  • 2- 5 years of experience as an IT Project Coordinator, Project Analyst, or Junior Project Manager
  • Strong organizational skills, and strong attention to detail
  • Ability to monitor and manage critical path elements of consolidated projects
  • Ability to manage all aspects of customer service, customer satisfaction, and contractual commitments
  • Proficiency in MS Project, and MS Office Suite (must be Excel savvy)
  • Ability to travel nationally to resort properties. Travel will be minimal and on-site stays vary from 2-3 days.
  • Hotel or Hospitality industry experience is preferred
  • IT infrastructure knowledge is highly preferred
