On their behalf, Hawthorne Recruitment is seeking an Executive Assistant to join their dynamic team. In this pivotal role, you will serve as the backbone of the executive team, providing comprehensive administrative support to ensure the efficient operation of their daily activities.


Key Responsibilities:

  • Manage and coordinate multiple executive calendars, including scheduling appointments, meetings, and events, while handling conflicting requests.
  • Arrange domestic and international travel, ensuring cost-effectiveness and compliance with company policies.
  • Prepare and distribute meeting materials, including agendas, documents, and presentations, and accurately record meeting minutes.
  • Prepare, process, and track executive expense reports in a timely and accurate manner.
  • Liaise with internal and external stakeholders, maintaining professional communication at all times.
  • Handle incoming calls, emails, and correspondence, responding promptly and directing inquiries to the appropriate team members.
  • Assist with special projects and ad-hoc tasks as assigned by executives, demonstrating flexibility and a willingness to take on new challenges.
  • Maintain confidentiality and discretion while handling sensitive information and documents.
  • Proactively identify opportunities to streamline processes and improve efficiency within the office environment.


Ideal Candidate Profile:

  • A university degree or college diploma in business administration, or equivalent experience.
  • Experience as an Executive Assistant or in a similar role, preferably in a fast-paced environment.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and calendar management tools.
  • Strong organizational skills and attention to detail, with the ability to prioritize tasks and manage time effectively.
  • Excellent communication and interpersonal skills, with the ability to interact confidently at all levels of the organization.
  • Proven ability to work independently with minimal supervision while also being a collaborative team player.
  • A positive attitude, a sense of humor, and a genuine enjoyment of tackling new challenges.
