THE GIST:

Our client, a Bay Area-based boutique investment firm seeks a highly-motivated Executive Assistant to join their passionate and agile team supporting their Co-Founder. This role will mainly be responsible for providing daily administrative support and personal assistance to their Co-Founder. The ideal candidate has a stellar track record of supporting c-level executives and leadership, ideally out of finance. This person must be ok with working outside of traditional business hours as the executive is often traveling across different time zones.

THE NITTY GRITTY:

  • Heavy calendar management across multiple time zones
  • Research, plan and execute complex domestic and international travel, including private aviation
  • Monitor and address incoming communications with a sense of urgency and high-level of discretion
  • Provide personal administrative support for Co-Founder and family
  • Work collaboratively with CoS and other members of the administrative team to maintain Co-Founder's schedule and plan logistics
  • Coordinate internal and external meetings 
  • Track expenses and prepare expense reports on a monthly basis
  • Assist in planning team off-sites and events
  • Provide backup support to other EAs and assist with ad hoc projects, as needed


THE ESSENTIALS:

  • 5+ years of experience as an Executive Assistant, ideally supporting senior leadership
  • Experience in a private equity, venture capital, or investment management highly preferred
  • Bachelor’s degree required
  • Ability to work outside traditional business hours and respond to urgent matters in a timely manner
  • Experience at a small finance firm or family office environment strongly preferred
  • Experience with private aviation a plus
  • Detail-oriented and great at multitasking
  • Team-player with a propensity to pitch in where you are needed
  • Excellent communicator with exceptional written, verbal & interpersonal skills
  • Strong learning agility and ability to anticipate needed
  • Ability to think strategically & see the bigger picture and how their work fits into it

LOCATION: San Francisco (Onsite - WFH Fridays)


COMPENSATION: $140k-185k base salary + benefits + bonus (exact compensation will vary based on skills, experience, and expertise)
