Executive Assistant

Responsibilities:


  • Calendar Management:
  • Scheduling and coordinating meetings and appointments.
  • Managing and optimizing the executive's calendar to ensure effective time management.
  • Communication Management:
  • Screening and prioritizing emails, phone calls, and other communications.
  • Drafting, proofreading, and editing correspondence, reports, and presentations.
  • Meeting Coordination:
  • Organizing and preparing for meetings, including creating agendas, taking minutes, and following up on action items.
  • Arranging conference calls and video conferences.
  • Office Management:
  • Ensuring the office is organized and tidy.
  • Coordinating with other administrative staff and departments.
  • Project Management:
  • Managing projects related to Eli’s accounts, including coordination with Walmart.
  • Financial Management:
  • Managing personal finances, including credit card and bank charge reconciliations.
  • Handling small Excel projects and basic QuickBooks entries.
  • Creating monthly basic financial reports.
  • Liaison Role:
  • Acting as a point of contact between the executive and internal/external stakeholders.
  • Facilitating communication and collaboration within the organization.
  • Documentation and Record-Keeping:
  • Maintaining and organizing important documents, records, and files.
  • Ensuring all documents, including contracts and stored software, are easily accessible and up-to-date.
  • Customer Relationship Management:
  • Building relationships with customers and handling orders, customer service inquiries, and requests for samples and pricing.
  • Monitoring Salesforce, entering opportunities, following up on emails, and nurturing customer relationships.
  • Travel Management:
  • Managing travel arrangements, including booking airlines, cars, and itineraries.
  • Personal Assistance:
  • Assisting the executive with schedule enforcement and other personal tasks as needed.
  • Additional Responsibilities:
  • Ensuring customers feel well taken care of.
  • Performing various office tasks as required.
