Our client is seeking a Purchase Order Specialist who will be responsible for managing the end-to-end purchase order process, with a focus on vendor relationships and procurement activities. This role involves working closely with vendors, particularly in China, and collaborating with finance to ensure timely and accurate processing of purchase orders.


Key Responsibilities:

  • Purchase Order Management:
  • Create, review, and process purchase orders in accordance with company policies and procedures.
  • Ensure all purchase orders are accurate and complete, including pricing, quantities, and delivery dates.
  • Vendor Relations:
  • Maintain strong relationships with vendors, particularly those based in China.
  • Communicate effectively with vendors regarding order status, delivery schedules, and any issues that may arise.
  • Negotiate terms and conditions with vendors to achieve the best possible outcomes for the company.
  • Procurement Coordination:
  • Coordinate with various departments to understand their procurement needs and ensure timely fulfillment.
  • Monitor and track order status, resolving any discrepancies or delays.
  • Work closely with the logistics team to manage shipments and deliveries.
  • Financial Collaboration:
  • Collaborate with the finance department to ensure timely payment of invoices and reconciliation of purchase orders.
  • Assist in budgeting and cost analysis for procurement activities.
  • Ensure compliance with financial policies and procedures.
  • Data Management:
  • Maintain accurate and up-to-date records of purchase orders, vendor agreements, and related documentation.
  • Utilize procurement software and tools to track and report on purchase order activities.
  • Continuous Improvement:
  • Identify opportunities to streamline the purchase order process and improve efficiency.
  • Stay updated on industry trends and best practices in procurement and vendor management.


Qualifications:

  • Bachelor’s degree in Business, Supply Chain Management, or a related field.
  • Proven experience as a Purchase Order Specialist or similar role.
  • Experience working with vendors in China and understanding of international procurement processes.
  • Experience in Finance.
  • Strong knowledge of procurement software and tools.
  • Excellent negotiation and communication skills.
  • Proficiency in Mandarin Chinese is a plus.
