Responsibilities:


  • Oversee day-to-day administrative operations, including managing office supplies, equipment, and facilities.
  • Develop and implement efficient office procedures and policies to streamline processes and enhance productivity.
  • Coordinate with external vendors and service providers for office-related needs.
  • Assist with recruitment efforts, including posting job listings, scheduling interviews, and onboarding new employees.
  • Maintain employee records and ensure compliance with HR policies and procedures.
  • Assist in coordinating employee training programs and performance evaluation processes.
  • Assist in managing accounts payable and receivable processes, including invoicing, billing, and payment tracking.
  • Work closely with the finance department to reconcile financial records and ensure accuracy.
  • Prepare financial reports and assist with budgeting and forecasting activities.
  • Provide administrative support to project managers and construction teams as needed.
  • Assist in preparing project documentation, including contracts, proposals, and change orders.
  • Coordinate meetings, appointments, and travel arrangements for project staff.
  • Serve as a central point of contact for internal and external stakeholders, including clients, vendors, and subcontractors.
  • Facilitate communication between different departments within the company to ensure smooth workflow and collaboration.
  • Handle incoming inquiries via phone, email, and in-person, and redirect them to the appropriate staff members.


Qualifications:


  • Proven experience in office management or administrative roles, preferably in the construction industry.
  • Strong organizational and time management skills, with the ability to prioritize tasks effectively.
  • Excellent communication and interpersonal abilities, with a customer service-oriented approach.
  • Proficiency in Microsoft Office Suite and other relevant software applications.
  • Familiarity with basic accounting principles and experience with financial management tasks.
  • Ability to work independently with minimal supervision and thrive in a team-oriented environment.
