Executive Assistant

Our client provides a safe space for survivors of sexual abuse to support one another in the aftermath of trauma. Providing bi-weekly support groups, survivors find comfort and growth from the peer support and professional facilitators. In groups, survivors give each other the strength and safety to overcome their shame and limiting beliefs. The powerful dynamic of sharing, communicating, and supporting one another builds confidence, self-worth, and essential life skills. Through the group, valuable lessons, skills, insight, and comfort is exchanged as each member learns and gives to one another. The friendships and support built extend beyond group sessions providing survivors with a second family. For the often-isolated survivor, our client is an understanding, safe space for them to explore and heal from the devastating effects of sexual abuse.


Responsibilities:


  • Administrative Support: Provide comprehensive administrative support to senior executives, including managing calendars, scheduling meetings, and coordinating travel arrangements.
  • Communication Management: Serve as the primary point of contact between executives and internal/external stakeholders. Manage correspondence, emails, and phone calls efficiently and professionally.
  • Meeting Coordination: Prepare agendas, organize and schedule meetings, take detailed minutes, and follow up on action items.
  • Document Management: Create, edit, and maintain documents, reports, and presentations. Ensure all documents are accurate and professionally formatted.
  • Project Management: Assist in the planning and execution of special projects and initiatives. Track project progress and ensure timely completion.
  • Event Planning: Coordinate logistics for corporate events, meetings, and conferences, including venue booking, catering, and material preparation.
  • Confidentiality: Handle sensitive information with the highest level of confidentiality and discretion.
  • Office Management: Oversee office supplies and inventory, ensuring a well-organized and efficient workspace.
  • Financial Tasks: Assist with budget tracking, expense reporting, and invoice processing.
  • Relationship Building: Develop and maintain strong relationships with internal and external stakeholders.


Qualifications:


  • Experience: Minimum of 3 years of experience as an executive assistant or in a similar role supporting senior executives.
  • Exceptional organizational and time-management skills.
  • Excellent verbal and written communication abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • Strong attention to detail and problem-solving skills.
  • Ability to multitask and prioritize tasks effectively in a fast-paced environment.
  • Professional demeanor and strong interpersonal skills.
  • High level of integrity and ability to handle confidential information.
  • Experience with project management and event planning is a plus.
