Virtual Front Office/Scheduling Coordinator/Aging Reports/Accounts Receivable/Chart Auditing

Main duties and responsibilities:


  • Creating an outstanding patient experience
  • Meeting financial goals
  • Oversight/coordination of clinical and office activities as a whole for optimal efficiency and patient care
  • Accomplish managing financial aspects of the practice, including budgets, payroll, and collections
  • Provide outstanding customer service: build positive patient relationships, setting an example for the office staff in alignment with the vision of the practice 
  • Interact with and process dental clinic patients
  • Schedule appointments
  • Perform telephone triage
  • Conduct New Patient interviews over the phone
  • Process recall program: audit charts, make follow-up phone calls to patients with outstanding treatment plans
  •  Optimal treatment scheduling for optimal vitality of the practice
  • Oversee the practice holistically, front office, to ensure Practice Values are upheld
  • Set and maintain tone of utmost professionalism, kindness, and care for patients and staff
  • Communicate clearly, for optimal collaboration and efficiency between clinical and office staff
  • Provide accurate / timely information, verbally and/or written, to patients, dentist, staff, vendors 
  • Balance taking initiative with informing / strategizing with Owner/Dentist on administrative decisions 
  • Take ownership of managing financial side of the practice: meet target goals and budgets for supplies/collections/insurance; drive improvement processes 
  • Take ownership of record keeping chart audits, improved records management 
  • Take ownership of overall patient experience: patient care from start to finish, treatment plan excellence in communicating/educating patients, treatment scheduling, care follow-thru, and recall program
  • Monitor and implement appropriate scheduling practices for patients and staff in order to achieve monthly production goals 
  • Adhere to the financial policies of office to achieve monthly collection goals 
  • Monitor and reconcile aged accounts receivables regularly to improve cash flow and meet aged accounts receivable goals
  • Conduct chart audits: reconcile charts, take charts to storage
  • Organize and cull files in storage facility
  • Manage operating budgets for labs 
  • Manage the application of patient and staff courtesy discounts per policy 
  • Daily balancing



Schedule: June 2nd to Nov 15th Mon & Tues 10:00 a.m. - 7:00 p.m., Wed & Thursday 8:00 a.m. - 5:00 p.m. PST (5–6-month engagement with the possibility of long-term)



Salary: $20-$30/hour



Our ideal candidate


  • 10+ years of dental front office experience
  • Dentrix experience is advantageous
  • Possess knowledge of medical/dental terminology
  • Leadership qualities and experience motivating staff and optimizing patient satisfaction
  • Highly competent in computer use, including Excel, word and social media
  • Ability to troubleshoot software and dental equipment problems
  • Experience digitizing office records and running a paperless office
  • Understand and comply with business practices associated with a dental practice
  • Understand and comply with licensing and continuing education requirements for professional staff
  • Understand and comply with dental office HIPAA compliance
  • Understand and comply with the HI-TECH Act of 2009
  • Punctual and excellent attendance record
  • Confidentiality (exercises discretion with confidential information, material, and conversation)
  • Willing to learn and takes instruction well
  • Good communication skills (polished communication style, clear, concise, listens well, constructive speaker)
