Reports To:
Director of Recruitment and Admissions

Scope and Position Responsibilities:
The Recruitment Operations Specialist assists the Recruitment Director in organizing, coordinating
and executing the department's operations and objectives. They are responsible for tracking and
managing marketing projects, departmental communication and collecting and analyzing data. This
person is also responsible for communication and tracking of incoming program applicants,
program volunteers, and partnering organizations. They will oversee day-to-day operations of the
department, event logistics, social media communication, and a variety of other administrative tasks.

Department Operations
● Oversee daily operations and task management of the Recruitment Team
● Manage department calendar and coordinate with relevant parties to ensure clear
communication of events and activities
● Oversee the dispersion of tasks assigned by the Director to the team and ensure projects are
being completed on time and with excellence
● Coordinate and oversee the success of recruitment and community engagement events
● Manage the front desk two afternoons a week. Provide hospitality, support, and direction to
all who enter the building.
● Support the Director in other ways as necessary.

Applicant Management
● Oversee applicant communication via phone, text, social media, and email
● Schedule applicants to attend the next step in the admission process
● Schedule, onramp, and coordinate volunteers for the program
● Work with team members to strengthen communication with community partners

Data Management
● Create and enforce policies for effective data management
● Track and extract recruitment and marketing data and produce quarterly and weekly reports
● Support other team members in daily use of our client management system, SalesForce
● Assist Recruitment Director in tracking expense receipts and completing monthly expense
reports
● Other tasks as assigned

Requirements
● Loves details, being organized, and supporting others
● Great written & verbal communication skills
● Microsoft Office and G Suite proficient
● Great customer service skills
● Have a reliable mode of transportation during the workday
● Willingness to work outside of office hours if needed
● Have a personal laptop computer
● Have a smartphone or a phone that can download the Voxer app

Hours
40 hours/week:
Compensation and Benefits
Salary: $42,000 per year
Vacation: 10 days, plus the office is closed Christmas Day - New Years Day
